Empowering Tech and its associated companies comply with the principles and regulation regarding GDPR, as stipulated by the Information Commissioners Office, and all other relevant data protection, security and management regulations in place in countries in which we operate. As such, we take protection of personal data very seriously and we recognise that we have a duty of care to the people whose data we collect and retain.


For the purpose of this policy, ‘the Company’ is defined as the global collective group of individually registered businesses, managed under the Empowering Tech Ltd group registered in the UK.



For the purpose of this policy, the term ‘Personal Data’ is defined as follows;


‘Any information which relates to an individual which can be used to identify them. Including (but not limited to); name, address, email address, telephone number, place of employment, IP address and cookie data.’


1. Customer Data – Initial Enquiry and Training


1.1. Purpose - In this instance your data is being processed for the specific purpose of responding to an enquiry for further information regarding our businesses or products


1.2. Lawful Basis - The collection of your data for this purpose is under the Lawful Basis of Consent.


1.3. Information Collected - The personal data we may process about you in connection with this purpose is:

1.3.5. Occupation details (employment address, position held etc.)


1.4. Retention - Under the Lawful Basis referenced in paragraph 1.2, your data will be stored and kept for no longer than is necessary and solely for the purpose of contacting you with marketing materials. Should you wish to withdraw your consent, your data will be securely deleted.


1.5. Data Sharing - Whilst we control your personal data, we will need to share this data with the following parties, for the following purposes:


1.5.1. Oracle Netsuite for the sole purpose of managing our customer database.


1.5.2. Eloqua for the sole purpose of managing our email system.


All data sharing activities are governed by commercial terms, which include data sharing clauses. These various data processors act under Empowering Tech’s control and are only permitted to use the personal data for the sole purpose for which it is shared with them.


2. Customer Data – Order Fulfilment


2.1. Purpose - In this instance your data is being processed for the specific purpose of fulfilling an order you have placed with Empowering Tech via one of our associated companies.


2.2. Lawful Basis - The collection of your data for this purpose is under the Lawful Basis of Contract, in that we need to process your personal data in order to fulfil our obligations under the Terms & Conditions which cover your purchase. If you consent to be contacted regarding our marketing materials at the time of purchase or any time after that, then your data will be stored under the Lawful Basis of Consent.


2.3. Information Collected - The personal data we may collect and process about you in connection with this purpose is:

2.3.3. Billing address (if different from the Delivery Address)

2.3.4. Telephone number(s)

2.3.5. Email address

2.3.6. Occupation details (employment address, position held etc.)

2.4. Retention - Under the Lawful Basis of Contract referenced in paragraph 2.2, we are legally required to retain your data until the end of the financial year in which your order is completed and for a further 6 years thereafter. This is in order to meet the requirements of accounting rules and financial record keeping. If you consent to be contacted regarding our marketing materials at the time of purchase or any time after that, then your data will be stored and kept for no longer than is necessary and solely for the purpose of contacting you with marketing materials. Should you wish to withdraw your consent in relation to marketing, after the above mentioned timeframe imposed by accounting rules your personal data will be redacted and a record only of your transactions will be kept.


2.5. Data Sharing - Whilst we control your personal data, we will need to share this data with the following parties, for the following purposes:


2.5.1. Oracle Netsuite for the sole purpose of managing our customer database.


2.5.2. Eloqua for the sole purpose of managing our email system.


2.5.3. Royal Mail Group Ltd, J&J Global Fulfilment Ltd, PVS Services Italia S.R.L, Australia Postal Corporation, Canada Postal Corporation, United Parcel Service Inc (UPS), and FedEx Corporation for the sole purpose of fulfilling customer orders.



2.5.4. Empowering Tech’s Legal Advisers and Accountants for the sole purpose of financial management and legal advice connected with any claim made against the Company.


2.5.5 IT and Business Consultants hired by Empowering Tech for the purpose of improving our business and working systems.

Website Data Collection - When you visit Empowering Tech, or any one of its associated businesses’ websites, we automatically collect certain information about your device. These generally include information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse our sites, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the site, and information about how you interact with our sites. We refer to this automatically-collected information as “Device Information”. We use this information to optimize your visit to the website and to improve its functionality for the future.


If you make a purchase through the website, we collect additional data as described in paragraph 2.3 in order to fulfil your order.


Empowering Tech and all associated business sites use Cookies to help us both understand the use of our site, and to personalise the service you receive from the website. This enables us to improve the service you receive from the site. You will be given the option to allow Cookies to be used in connection with your use of our website and you do not need to accept their use. However, you should be aware that this may prevent you from taking full advantage of all of the site’s features, in particular, our shopping cart feature which enables you to purchase products directly from our sites. Empowering Tech and all associated business sites also use Google Analytics to analyse the traffic on the website. Retention and Destruction - Your data will be held in accordance with the GDPR and global data protection regulations and as per business needs and as specified in paragraph paragraphs 1.4 and 2.4.


You can select the “unsubscribe” option on any electronic communication we send to you, which will remove you from our marketing database, or you can send us a request using the contact details provided at the end of this policy to request that your data is deleted, exercising your right as a Data Subject.


In instances where data cannot be deleted, it will be anonymised and redacted before being securely stored.


Your data will be destroyed using an approved method unless prevented by Court order. Any physical copies of data will be destroyed via shredding of the documents.


The Rights of the Data Subject - Under the General Data Protection Regulation, you, the Data Subject have certain rights regarding the control and processing of your personal data. Details regarding your rights can be found on the Information Commissioner’s Office (ICO) website.

Security Surrounding Personal Data - Recognising the importance of personal data to our consumers, we endeavour to put in place appropriate organisational and technical measures to protect that data from accidental loss, unauthorised processing or damage.


Data held electronically is protected and secured via high level encryption and password protection, and is stored securely on a remote cloud server. This is our preferred method of storing personal data, however, any physical record of personal data held by Empowering Tech and its associated companies is stored securely in lockable cabinets, with our buildings being secure from any unpermitted access from non-employees.


Personal data will only be transferred to a third party who has provided sufficient guarantees to implement appropriate technical and organisational measures that comply with data protection legislation, and ensure that data subjects rights are protected and that these requirements are governed by a contract or other legally binding agreement.


Data subjects should be aware that, in general, not all electronic communications or transactions of data are secure. Our sites uses the strongest commercially available level of encryption, 128-bit Secure Socket Layers (SSL). This ensures that your online transactions are secure in transit and upon arrival at our server, and your information cannot be intercepted during this transaction.


We also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law, and that the devise you are using to provide any personal data electronically is secure.


Our employees receive data protection training and carry out work using the best working practises when dealing with all personal data, and in line with this Privacy Policy.


Additional Services and Communication - As a consumer of Empowering Tech and its associated businesses services, we may contact you to make you aware of events, new products we’re developing, or training which we feel could be of interest to you. Such communications will be sent to you under the Privacy and Electronic Communications Regulations and you will be given the option to opt out of similar communications on each occasion. We do not send unsolicited marketing emails to personal email addresses (spam).


If you would like to remove yourself from all non-essential email communications (you will still receive emails regarding your account and purchases), you can make this request via email to datasecurity@empoweringtech.com. Please note that if you have requested to be removed from our mailing list, you may still receive additional emails for a short period due to our email system being scheduled.
